Team roles and permissions
What Manager, Crew leader and Crew can do by default, and how to change each permission on the Team permissions grid.
You, the owner, can always do everything. Everyone else has one of three roles, set on Settings → Team → Crew, team & hours: Crew, Crew leader or Manager. The rights for each role are enforced on the server, not only on screen. Crew sheets never show prices, costs or margins.
Linking a person to an account
Type the email of their own VisionScaper account in Their VisionScaper account email (optional). That links them to your company. Remove them from the crew list and their access ends.
The Team permissions grid
Below the crew list is a card Team permissions with three columns: Manager, Leader, Crew. Each row has a check box. Click Save permissions when done.
Rows include:
- Use templates on jobs; create and edit company templates; set default templates
- See costs, markups and margins
- See every job (not only their own); assign people and reschedule
- Manage employees and availability; review and approve hours worked
- Create checklists and field forms; approve jobs and override required items
- See customer phone and email; share job photos with customers
- See labor rates, job costs, revenue and profit
- Clock their crew in and out on shared jobs
- Phone app: see every customer; edit customers and properties; add potential customers; see private customer notes; door-to-door; measure properties; view and share landscape plans; see and assign everyone’s tasks; approve messages, follow-ups and review requests
- Export approved hours for payroll
- Turn automatic payment on or off
- See live team location; see location history and mileage
- Create and approve purchase orders; receive deliveries on purchase orders (no prices)
- Run the first-run guide and sample data
- Crew app: messages with the office

The grid always shows your server’s current values, so a newer plugin may differ from this table.
Steps
- Add or open a crew member.
- Choose their role.
- Scroll to Team permissions.
- Tick or untick the rights you want per role.
- Save permissions.
Tips
- Keep financial rights off for crew.
- Search “team permissions” to jump to the grid.
- Alerts from the field can also go to managers if “Alert managers” is on in Field work → Settings.
If something goes wrong
- A Manager cannot see profit. “See labor rates, job costs, revenue & profit” is off for Manager by default. Turn it on if you want it.
- Changes do not apply. Click Save permissions, then have the person reload.
