Settings: Crew, team & hours

Add your field employees with roles and crews, link them to their accounts, and set your normal working hours.

Path: Settings → Team → Crew, team & hours.

Your crew

These are your field employees. They show up when you schedule visits. Crew sheets (address, map link, scope, notes) can be emailed or texted to them. You, the owner, do not count toward your plan.

For each person:

  • Name
  • Email or mobile (for crew sheets)
  • Crew (e.g. Crew A). People who work together share a crew name.
  • Role: Crew, Crew leader or Manager.
  • Their VisionScaper account email (optional). This links them to their own account. Remove them here and their access ends.
  • A private section for your own notes. The page says it is never shown to the employee, other contractors or anyone else.

Click + Add crew member, then Save crew.

Usage bars show how many employees and crews your plan allows. Availability, time off, internal cost rates and switching people off are under Field work → Team.

Working hours

Heading Working hours: your normal working day. The default shown is 7 AM to 5 PM. Choose Day starts and Day ends. The end must be after the start. New job days start at the beginning of it, and the calendar shows how much of each day is free. Click Save working hours.

Steps

  1. Click + Add crew member.
  2. Type name and contact.
  3. Choose role and crew.
  4. Add their account email if they will sign in.
  5. Click Save crew.
  6. Set working hours and save.

Tips

  • Search “working hours” or “private notes” to jump here.
  • Give each person their own sign-in. Do not share one account.
  • Permissions per role are in [team-roles-and-permissions].

If something goes wrong

  • Cannot add another person. You reached your plan’s employee limit.
  • A person sees nothing. Their account email may not match, or their role may have few rights.
  • Hours will not save. The end of the day must be later than the start.
