Appointment reminders to customers
Set how long before each appointment customers get an email, text or in-app reminder, and what you get yourself.
Reminders go out before every appointment on the schedule you set. You can also set reminders for yourself.
Steps
- Go to Settings → Reminders.
- Under Reminders to your customers, you see ⏰ Reminder 1, ⏰ Reminder 2 and so on.
- Set how long before with a number and a unit.
- Tick the channels: Email, Text (greyed if not in your plan or not set up) and In-app.
- Choose All appointment types or Only some appointment types.
- Click + Add a reminder for another. Remove deletes one.
- Under Reminders to you, do the same. Use + Add a reminder for me.
- Under When you book, move or cancel, tick Tell the customer automatically if you want. Their calendar updates either way.
- Click Save reminder schedule. A message tells you how many reminders were planned for upcoming appointments.
Quiet hours for texts
Texts never go out between 9 pm and 8 am. “A reminder that would land overnight is sent at 8 pm the evening before instead.”
Change the wording
The wording is in Settings → Messages & alerts → Appointment reminder. Customers can reply C to confirm or R to reschedule. VisionScaper answers confirm with a thank-you and reschedule with “We’ll text or call you to find a new time.” You are alerted: “Customer confirmed / asked to reschedule”.
For one appointment
You can change the schedule for a single appointment when you book it. On the visit, a line shows what is planned, listing the planned reminders by channel and time.
Plan limit
If your plan caps reminders, the screen says “Your plan includes N reminder(s) per appointment.” The value is a placeholder, not approved.
Tips
- Start with two reminders: one a day before and one a couple of hours before.
- Appointment reminders are service messages. They go to people who booked with you. Marketing texts have extra consent rules. See “Consent and opt-outs”.
If something goes wrong
- No text reminder: texting may not be set up, not in your plan, or the person opted out.
- A reminder was early: it was moved to 8 pm the evening before because of quiet hours.
