Recurring invoices

Repeat an invoice weekly, monthly, yearly or on a custom schedule for maintenance customers.

Use a repeating invoice for maintenance or mowing customers who pay on a regular cycle.

Before you start

Make the first invoice the way you want every copy to look: customer, lines, tax, notes and reminder plan.

Steps

  1. Open Invoices → New invoice, or open an existing invoice.
  2. Find Repeats. The choices are:
    – One time
    – Every week
    – Every 2 weeks
    – Every month
    – Every 3 months
    – Every year
    – Custom…
  3. For Custom…, a row Every appears. Type a number from 1 to 365 and choose days, weeks, months or years.
  4. Set Type to Recurring / maintenance. (Choosing a repeat while Type is Final switches Type to Recurring for you.)
  5. Tap Save draft or Save & send.

If you pick a service template that has a billing frequency, Repeats fills in by itself and a message tells you so.

What happens on each cycle

The next copy is scheduled one interval after the invoice’s due date. (For example, a monthly invoice due on the 15th makes its next copy on the 15th of the next month.) A background task checks every few minutes. When the date arrives, VisionScaper makes a copy:

  • It gets the next invoice number.
  • Its status is Sent, and the customer is emailed the invoice link.
  • It keeps the same number of days between invoice date and due date as the original.
  • Its reminders start fresh.
  • The original stops repeating and the copy carries on the repeat, so the chain moves forward.

If the due date falls on a day your own subscription is suspended, repeats wait and resume when the account is active again.

Tips

  • Check the customer’s email address before you turn repeats on, since copies are emailed automatically.
  • Use Void on the latest invoice to stop a chain.
  • If the price changes, edit the line on the next copy.

If something goes wrong

  • “Set how often the custom repeat goes out.” The custom number must be at least 1.
  • Copies did not appear. The repeat check runs in a background task. It handles up to 60 invoices per run. A paused account does not make copies.
  • A copy went to the wrong person. Void it and fix the customer’s email.
