Private notes on each employee

Keep owner-only notes, ratings and pay details on each crew member in Settings, never shown to the employee.

Each crew member in your settings has a locked 🔒 Private notes section for you alone.

Where to find it

Settings → Crew & hours, in the crew list. Open the 🔒 Private notes drop-down under a person. A ✎ shows next to it when there is something saved.

Steps

  1. Open Settings → Crew & hours and find the person.
  2. Open 🔒 Private notes.
  3. Fill in any of:
    – Role, for example Foreman
    – Started (date)
    – Pay rate, for example $24/hr, typed as text
    – Ratings from 1 to 5 for Reliability, Quality of work and Safety: 5 is Excellent, 4 Good, 3 OK, 2 Needs work, 1 Poor
    – Notes, for example “3/14 – trained on paver base”
  4. Tap Save crew at the bottom of the list.

Privacy

The screen says: only you see this. It is never shown to the employee or shared with other contractors. The code removes the private block from the crew data it gives to schedule screens. References are only given with the employee’s consent.

Tips

  • Keep it factual: dates and what happened. It helps with reviews, raises and references.
  • These notes are separate from Goals and reviews, which the employee sees when you share them.
  • The Pay rate here is a note only. Job costing uses the Internal cost per hour ($) in Field work → Team.

If something goes wrong

  • Notes are gone after leaving. You must tap Save crew.
  • A manager cannot see them. The notes live in Settings, which is the owner’s area.
