Export approved hours for payroll

What the payroll export contains, who can run it, and why unapproved weeks are left out.

VisionScaper can produce a CSV of approved hours for your payroll provider. VisionScaper does not run payroll or pay anyone.

Before you start

  • Hours must be approved. See “Review and approve hours worked”.
  • The permission Export approved hours for payroll is needed. It is off for managers by default. Turn it on under Settings → Crew & hours → Team permissions.
  • Where the button lives: the export is provided to the phone app by the website. A button for it in the web Hub was not found in the code (not verified).

What the file has

Columns: Employee, Week of, Job, Regular hours, Overtime hours, Total hours. If you also have the right to see money, you get Cost rate and Cost.

  • Only paid activities count. Unpaid ones such as breaks are left out.
  • One row per person, week and job. Time with no job shows as “No job”.
  • Overtime is the hours past a weekly threshold, counted from the last hours worked. The default threshold in the code is 40 hours. The owner can set it between 1 and 80.
  • The file name looks like payroll-2026-03-02.csv, with the number of weeks added when you ask for more than one.

Steps

  1. Make sure every week you need is approved.
  2. In the phone app, choose the payroll export, pick a date inside the first week, and choose 1 to 8 weeks.
  3. Optionally pick one employee.
  4. Save the file and open it in your spreadsheet or payroll tool.

Tips

  • Check overtime rules against your state’s rules yourself. VisionScaper does not give pay or legal advice.
  • Each export is written to your activity log.

If something goes wrong

  • “No approved hours in that period.” Weeks still waiting for approval are counted in the message.
  • “…is not approved yet” when you chose one employee. Approve those hours first.
  • You cannot find the export. You may lack the permission; ask the owner.
