The Inbox: messages with customers and leads
Answer customer and lead messages, use the Needs reply filter, quick replies, and the project card.
The Inbox (menu text “Customers & leads”) is where customers and new leads write to you. When a homeowner requests a quote through VisionScaper, the conversation starts here with their project brief.
The list
For contractors the filter chips are Needs reply (the default), All, Unread and Archived. A search box reads “Search messages”. Needs reply sorts the oldest waiting first and says, for example, “Needs a reply, waiting 2 days”. Other states are “New, needs a reply”, “Waiting on customer” and “Closed”. Empty means “All caught up”.
Needs-reply tracking and quick replies are part of a Pro plan feature. You can still read and reply to everything without it. Which plan holds it is a placeholder, not approved.
Inside a conversation
A project conversation shows a card with the address, services, next appointment, the quote and its status (Request, Estimate in progress, Quote sent, Quote viewed, Hired, Declined, Expired). Buttons on the card:
- Start the estimate (or Open quote once it exists)
- Book a visit
- Ask for missing details: you tick what you need and add a note, then Send request
The message box says “Write a message…”. Next to it: a camera button to Add a photo (take one or choose one) and a lightning button for Quick replies. A phone icon calls the customer.
Steps: answer a waiting customer
- Open Inbox. Needs reply is selected.
- Open the oldest thread.
- Read the brief on the project card.
- Type your reply, or tap the lightning button and pick a saved quick reply.
- Tap send.
Steps: set up quick replies
- Open a thread and tap the lightning button.
- Tap Edit quick replies. This opens Settings, on the Quick replies tab, in the group Messages and connections.
- Add your replies and save.
Alerts
The conversation list has an Alerts button for your message notification settings.
Tips
- Open Needs reply before anything else each day. It matches the “customer message waiting for your reply” row in Needs you.
- Use Ask for missing details instead of guessing. It sends one specific message.
If something goes wrong
- You cannot message someone. The box is disabled with “You can’t message this member.”
- No quick replies. The feature is not in your plan, or you have not added any yet.
- A thread keeps coming back. A new message brings an archived conversation back.
