Lead stages and “How they found you”

Use the customer Stage and Source fields to track where leads come from and how far along they are.

VisionScaper tracks a lead as a customer record with two labels: a Stage and a Source. You set both in the customer form, and the Sales board and win/loss report read them.

Stage

The stages in the customer form are:

Stage Use it for
Potential customer Someone who asked or showed interest (this is the default for new leads)
Prospect Someone you are actively working toward a quote
Customer Someone who has hired you
Past customer Someone you worked for before
Lost Someone who did not go ahead

The Customers list has a chip for each stage, so you can see just your potential customers.

Source

The How they found you drop-down offers: Website, Phone call, Text message, Referral, Social media, Contractor referral, VisionScaper, Repeat customer, Other. A Referred by box sits next to it.

Leads can also arrive with their own source. The outside lead feature stamps Angi, Thumbtack, Google Local Services or Other source on requests it brings in. The VisionScaper choice is there for customers who came through the app (how it is set automatically was not verified in code). A friend who uses a customer’s personal referral link becomes a normal new lead with source “referral”.

Steps

  1. Open the customer and tap Edit.
  2. Find the section called Potential customer.
  3. Choose Stage and How they found you.
  4. Fill Referred by if someone sent them.
  5. Tap Save customer.

Why it matters

  • The Sales board card shows the source (“unknown source” if empty).
  • The win/loss report on the Sales board groups deals by source. It shows deals, won, lost and close rate for each, so you can see which source pays. See the win/loss article.
  • If you leave the source blank, that report cannot tell you where the money came from.

Tips

  • Pick the source when you take the call, not later.
  • Use Referred by to remember whom to thank.
  • Change a customer to Customer or Lost by hand. The Sales board moves cards for deals on its own, but the stage on the customer is yours to keep current.

If something goes wrong

  • Source shows “unknown source”. Edit the customer and choose one.
  • A website lead has no source. The request form sets source “website”. If it is empty, check how the lead arrived.
