Walk estimates and voice-note summaries (phone app)

Record a property walk by dictation and photos, let AI propose services, and review each line before one draft quote is made.

A walk is a property walk-through you dictate and photograph. A crew leader or manager walks the property, dictates with the phone keyboard’s microphone, and takes photos. VisionScaper keeps the transcript as a “walk”. These features are built into the VisionScaper phone app’s server routes (named mobile/walk and mobile/voice). No Hub screen for them was found in the web Hub code, so the exact button labels in the phone app are not verified here.

Warning: The AI is off by default. An owner switch and an AI service key are needed. Without them you can still build the lines by hand from your services.

How a walk works

  1. Create the walk. Pick the customer (and property), then type or dictate the transcript. The limit is 6,000 characters. If you need more, split it into two walks.
  2. Add photos. They are private to the office.
  3. Ask for a draft. The AI proposes which of your own services the walk talked about.
  4. Review every line. Each line can be accepted, rejected, edited (a quantity) or left pending. You can add a service of your own that the AI missed.
  5. Save. One draft quote is created, only when every line has been decided by a person. It is never sent.

What the AI is and is not allowed to do

  • It names only service ids from your own list. Anything not an active service of yours is dropped.
  • It never sets a number. A quantity comes only from a measured area, or from a number actually spoken in the transcript. Otherwise the line has no quantity.
  • Every line is priced by VisionScaper from your own template and rates, never from anything the AI wrote.
  • Photos and the customer record are never sent to the AI. Spoken emails and phone numbers are removed first.
  • Lines stay pending until a person decides.

Cost controls

The switch is off by default. There is a cap on AI calls per day in total, and a daily cap for walks of their own. The walk is rejected with a plain message once it is reached.

Voice-note summaries

A separate feature (voice summary) turns a dictated note into a summary with suggestions. It saves nothing by itself. If AI summaries are not switched on, you are told “Your note can still be saved as it is.” Say or type at least a few characters first.

Steps (owner): turn it on

  1. Make sure the AI service key is set up. Get it from the provider by following their current instructions.
  2. Turn on the walk AI switch. The switch name is “walk_ai”. Where it sits in Settings was not verified in code.

Tips

  • Speak sizes aloud: “front bed, about forty feet long”. Spoken numbers are used.
  • Review each line against the property. The AI can misunderstand.
  • A saved walk cannot be saved again as a quote.

If something goes wrong

  • “AI walk drafts are not switched on for this site.” The owner must turn the AI on.
  • “This walk changed since you opened it.” Reload and look again.
  • “This walk is already saved as a quote.” Open the quote instead.
