Connecting QuickBooks Online

Create an Intuit app, paste its Client ID and secret into Connected apps, and choose how customers, invoices and payments sync.

QuickBooks Online connects per business, from the Contractor Hub. It syncs customers, and can send invoices, payments and approved expenses. QuickBooks Desktop is not supported. Use CSV import and export instead.

Before you start

  • A QuickBooks Online login and a developer account with Intuit.
  • Owner access in the Contractor Hub.

Steps

  1. In the Contractor Hub, open Settings → Connected apps.
  2. Find the QuickBooks Online card and open Set-up walkthrough.
  3. At developer.intuit.com, create an app for QuickBooks Online and Payments with the scope com.intuit.quickbooks.accounting.
  4. Under Keys and credentials, finish Intuit’s questionnaire for Production keys.
  5. Under Redirect URIs, add the address shown on the card (use the Copy button).
  6. Optional, for instant updates: add a Webhooks endpoint with the address shown, using the Customer entity. Paste the key Intuit shows into Security key (optional) on the card.
  7. Paste Client ID and Client secret.
  8. Choose QuickBooks company: Production (my real company) or Sandbox (testing).
  9. Choose How data moves: Import only (into VisionScaper), Export only (from VisionScaper), or Both ways (changes go each direction).
  10. Press Save settings, then Connect QuickBooks Online and pick your company.

Optional switches

  • Update automatically every hour.
  • Pass on deletions. The screen says off is safer. QuickBooks never deletes customers. They become inactive.

Money sync

Once connected, a second card offers Send invoices and payments to QuickBooks (hourly and when something changes) and Also send approved expenses. Nothing is ever deleted in QuickBooks. A cancelled invoice is voided. There is a log with Retry and Needs review items.

Tips

  • If both sides changed a record, it goes to Needs review and nothing is overwritten.
  • QuickBooks needs unique display names. On a clash, VisionScaper adds the town or a number and tells you.
  • Refresh tokens roll. You get a message to Reconnect when one expires.

If something goes wrong

  • “QuickBooks refused the connection. Tap Reconnect in Settings → Connected apps.”
  • Connect is disabled: keys are not saved yet.
  • Sandbox company shows no real data: switch the setting to Production.
